Hiring a Bookkeeper
When should a small business hire a bookkeeper?
If you’re spending more time trying to figure out your finances than running your business, it may be time for professional bookkeeping support. You don’t have to wait until your books become overwhelming. A bookkeeper can help you establish good financial habits early, stay organized, and make informed decisions.
How much does a bookkeeper cost in Gainesville, Florida?
Bookkeeping costs depend on your transaction volume, number of accounts, and the services your business needs. At Golden Ease Bookkeeping, monthly packages generally start at $350, with additional options for growing and more complex businesses. We recommend a consultation to determine the right level of support for your needs.
Is hiring a bookkeeper worth it for a small business?
Absolutely, when the service fits your business needs and budget. Accurate bookkeeping helps you understand where your money is going, prepare for tax season, and avoid spending hours trying to untangle financial records. Think of bookkeeping as an investment in financial clarity and peace of mind.
Should I hire an employee or outsource my bookkeeping?
For many small businesses, outsourcing is a practical option because you receive professional bookkeeping support without the expense of hiring and managing a full-time employee. The right choice depends on your workload, budget, and how much day-to-day accounting support you need.
Can a bookkeeper actually save my business money?
A good bookkeeper can help you identify unnecessary expenses, spot duplicate transactions, track unpaid invoices, and keep financial records organized. While savings aren’t guaranteed, having accurate financial information makes it much easier to see opportunities to improve your business.
QuickBooks Online
Can Golden Ease clean up my QuickBooks Online account?
Yes! Whether your transactions are miscategorized, accounts haven’t been reconciled, or your reports simply don’t look right, Golden Ease can review your QuickBooks Online records and help identify and correct bookkeeping issues.
How do I know if my QuickBooks records are accurate?
Start by checking whether your bank and credit card accounts are reconciled, transactions are categorized correctly, and your financial reports make sense. If you see unexplained balances, duplicate income, or unusual expenses, your books may need a closer review.
How often should I reconcile QuickBooks?
We recommend reconciling your business bank and credit card accounts every month. Monthly reconciliations help identify missing transactions, duplicate entries, and discrepancies before they turn into bigger problems.
Why doesn’t my QuickBooks balance match my bank account?
There are several possible reasons, including outstanding checks, deposits in transit, duplicate transactions, missing entries, or incorrect opening balances. The first step is determining whether you’re comparing the bank’s current balance or statement balance with the appropriate QuickBooks balance.
When should I stop doing QuickBooks myself?
If you’re falling behind, second-guessing transaction categories, or spending too much time troubleshooting, it may be time to get help. You can still stay involved in your finances while allowing a professional to handle the bookkeeping details.
Catch-Up & Cleanup Bookkeeping
What is catch-up bookkeeping?
Catch-up bookkeeping is the process of bringing financial records up to date when transactions haven’t been recorded or reconciled for several months or longer. At Golden Ease, we help you work through the missing periods, organize your financial activity, and get your records back on track. Our goal is to help you move forward with confidence—not feel overwhelmed by what’s behind.
What’s the difference between catch-up and cleanup bookkeeping?
Catch-up bookkeeping focuses on recording financial activity that hasn’t been entered or reconciled. Cleanup bookkeeping focuses on correcting existing records, such as miscategorized expenses, duplicate transactions, or inaccurate account balances. Some businesses need one service, while others need both. Golden Ease can review your situation and recommend the appropriate approach.
Can Golden Ease fix several years of bookkeeping?
Yes, we can evaluate bookkeeping records covering multiple years and determine what needs to be corrected or brought up to date. The scope of the project depends on the condition of your records and the availability of supporting documents. We’ll review your situation and discuss a realistic plan before beginning the work.
How long does bookkeeping cleanup take?
Every business is different. The timeline depends on how far behind your books are, how many transactions need attention, and whether the necessary statements and receipts are available. After reviewing your records, Golden Ease can provide a more realistic estimate of the time required. We believe in doing the work carefully rather than rushing through your financial records.
What happens if my business books are behind?
First, don’t panic! Many small-business owners fall behind because they’re busy managing daily operations. The important thing is to address the situation before it becomes more complicated. Golden Ease can help identify missing information, organize your transactions, reconcile accounts, and develop a plan to get your books caught up. You don’t have to figure it all out alone.

Monthly Bookkeeping
What does monthly bookkeeping include?
Monthly bookkeeping typically includes organizing and categorizing financial transactions, reconciling bank and credit card accounts, and preparing financial statements. At Golden Ease Bookkeeping, services are tailored to your business needs and the package you select. Our goal is to keep your books accurate, organized, and ready when you need them.
What does a monthly bookkeeper actually do?
A monthly bookkeeper helps maintain your business’s financial records so you don’t have to manage every transaction yourself. This includes reviewing income and expenses, reconciling accounts, identifying discrepancies, and preparing financial reports. At Golden Ease, we believe you should spend more time growing your business and less time worrying about your books.
How often should financial statements be reviewed?
We recommend reviewing your Profit and Loss statement and Balance Sheet at least once a month. These reports help you understand how your business is performing, where your money is going, and whether there are financial concerns that need attention. Regular reviews can help you make more informed decisions throughout the year.
Do I need bookkeeping every month?
For most active businesses, monthly bookkeeping is a smart investment. Even if you have a relatively small number of transactions, keeping your records current can prevent costly cleanup projects later. Consistent bookkeeping also makes it easier to monitor your finances and prepare information for your tax professional.
What financial reports will I receive each month?
Your financial reports depend on your selected service package. Our Essential Ease™ package includes a Profit and Loss statement and Balance Sheet. Additional reporting, such as cash flow reports, budget tracking, and customized financial summaries, may be available with other packages. We’ll explain exactly what’s included before services begin.

Financial Reports & Business Decisions
What is a Profit and Loss statement?
A Profit and Loss statement, also called an income statement, shows how much money your business earned, what it spent, and whether it made a profit or experienced a loss during a specific period. Think of it as a financial report card for your business. At Golden Ease, we believe every business owner should understand where their money is coming from and where it’s going.
What is a Balance Sheet?
A Balance Sheet provides a snapshot of your business’s financial position at a specific point in time. It shows your assets (what your business owns), liabilities (what your business owes), and equity (the owner’s financial interest in the business). Reviewing your Balance Sheet regularly can help you better understand your business’s overall financial health.
What’s the difference between profit and cash flow?
Profit and cash flow are related, but they’re not the same thing. Profit is the amount remaining after expenses are deducted from revenue, based on your accounting method. Cash flow measures the actual movement of money into and out of your business. You can have a profitable business on paper and still experience cash shortages. That’s why understanding both is important.
How can bookkeeping help me make better business decisions?
Accurate bookkeeping gives you reliable information about your income, expenses, profitability, and financial trends. Instead of guessing whether your business can afford a new purchase or additional expenses, you can review your numbers and make more informed decisions. At Golden Ease, our goal is to help you gain financial clarity so you can focus on growing your business.
Why does my business show a profit when there’s little money in the bank?
This is a common question! Your Profit and Loss statement and bank balance measure different things. Loan principal payments, equipment purchases, owner withdrawals, unpaid customer invoices, and the timing of transactions can all affect your available cash without affecting reported profit in the same way. Reviewing your Profit and Loss statement, Balance Sheet, and cash flow together can help explain where your money is going.

Your Financial Reports Should Make Sense to You.
Understanding your numbers is an important part of running a successful business. Golden Ease Bookkeeping helps small-business owners maintain organized financial records and gain a clearer picture of their financial performance.

Taxes & Compliance
Does a bookkeeper replace my tax preparer or CPA?
No. Bookkeepers and tax professionals serve different but equally important roles. At Golden Ease Bookkeeping, we focus on keeping your financial records accurate, organized, and up to date. Your CPA or tax preparer uses that information to prepare tax returns and provide tax guidance. When your bookkeeping is in good shape, tax season can be much less stressful.
Can Golden Ease help me prepare for tax season?
Absolutely! While Golden Ease does not prepare income tax returns, we can help organize your financial records, reconcile accounts, and prepare financial statements for your tax professional. Our goal is to help you avoid the last-minute scramble to locate receipts, correct transactions, and figure out where your money went throughout the year.
How long should I keep business receipts and financial records?
The IRS generally recommends keeping records for as long as they may be needed to support your tax returns. For many federal income tax records, that means at least three years, although longer retention periods apply in certain situations. Employment tax records generally must be kept for at least four years. Florida and other requirements may differ. Keeping organized digital copies of receipts, statements, invoices, and financial reports can make recordkeeping easier. Consult your tax professional about the retention periods that apply to your business.

Can Golden Ease help with Florida sales and use tax bookkeeping?
Yes! Golden Ease can help Florida businesses organize taxable sales and purchase records, reconcile sales tax activity, and maintain supporting documentation. Sales and use tax reporting assistance may also be available depending on your service agreement. Florida businesses should understand their filing requirements and deadlines through the Florida Department of Revenue. We help keep the bookkeeping side organized so you have more reliable information for compliance.

What happens if I mix personal and business expenses?
Mixing personal and business expenses can make your bookkeeping more complicated and your financial reports less reliable. It may also create additional work during tax preparation. We recommend maintaining separate business bank accounts and credit cards whenever appropriate. If personal transactions have already been mixed into your business records, Golden Ease can help identify and categorize them properly.

Organized Books Make Tax Season Easier.
Tax preparation shouldn’t begin with months of missing transactions and unreconciled accounts.

Invoicing, Payments & Payroll
Can Golden Ease help me track unpaid customer invoices?
Yes! Golden Ease Bookkeeping offers accounts receivable support to help small-business owners stay on top of outstanding customer invoices. Depending on your service agreement, we can help record invoices and payments, monitor unpaid balances, and identify overdue accounts. Staying organized with accounts receivable can help you better understand how much money customers owe your business and improve your cash flow management.
Can Golden Ease help manage my business bills?
Absolutely! Our accounts payable services can help you organize vendor bills, track payment due dates, and maintain accurate payment records. Depending on your service agreement, we can also assist with bill processing and payment coordination. You’ll maintain appropriate oversight and approval of business payments while we help keep the bookkeeping organized.
Does Golden Ease Bookkeeping offer payroll services?
Yes! Golden Ease offers payroll processing and coordination support based on your business needs, payroll system, and service agreement. This may include assisting with payroll records, processing payroll through an approved payroll platform, and reconciling payroll transactions. We’ll discuss your payroll requirements during your consultation to determine the services that are appropriate for your business.
What’s the difference between accounts payable and accounts receivable?
Accounts payable is money your business owes to vendors and suppliers, such as unpaid bills for inventory, utilities, or services. Accounts receivable is money customers owe your business for products or services you’ve already provided. Tracking both is important because it helps you understand upcoming payments, expected income, and your overall cash flow.
Why is it important to track outstanding customer invoices?
Outstanding invoices represent money your business has earned but hasn’t collected yet. When invoices remain unpaid, your business may experience cash flow challenges even when sales are strong. Regularly reviewing outstanding invoices helps you identify overdue balances, follow up with customers, and make more informed financial decisions. Golden Ease can help you keep those records organized.
